ABSTRACT

 This project is aimed at developing an online on-request courses coordination system that is of importance to an IT organization which has a training department of its own.

                        The online on-request courses coordination system (ORS) is an Intranet based application that can be accessed throughout the organization or a specified group/Dept. This system can be used to automate the workflow of the requests that come from various departments for project specific trainings and their approvals. The training department has to cater to the training of the fresh recruits. It has a regular calendar and schedule to train the Fresher. In addition to this it has to handle the project specific training requests coming from various departments. For this the department has appointed one person as the on-request coordinator, who will be able to service the requests with help of ORS.

                               The whole process starting from logging the request by a dept to servicing the request is automated. There are features like logging the request, to check the existing training calendar and checking the availability of respective faculties for the course, allocating the faculty for the course, if an internal faculty is not free during that period getting faculties from outside, report generators etc in this system.

 EXISTING SYSTEM

               A manual system in which many people are directly or indirectly required to take decisions as to when to conduct training, where to conduct training, who should conduct training and mode of training etc. All the details have to be particularly registered by the training department head. Every training programme has to be planned after meetings with the concerned department heads. Faculty is arranged depending on his/her engagements in other programmes. A large amount of documentation is involved and so is longer time taken to schedule a training session and generate reports.

DRAWBACKS:

• Requirement of proper communication between people involved in planning and conducting the training programmes
• Chances of misinterpretation and miscalculation of data as many programmes in different departments are scheduled simultaneously
• Longer time taken to schedule programmes as many dependencies have to be taken into consideration

 PROPOSED SYSTEM

         To overcome drawbacks and avoid unnecessary delay that existed in the existing system a new application is designed called Online On-Request Courses Coordination System (ORS). The main purpose of the proposed and designed system is to automate the communication between the training department and other departments of the IT organization requesting training. Another aspect is that this application also to large extent reduces the dependency of the IT organization on other companies outsourcing training. The system allows data entry retrieval and report generation to be performed without requiring manual assistance.

           The complete project is divided into three modules as follows:

Employee: – fresher employees or other existing employee from any department logs into the system using the guest login. He/she enters the details of the course request in the form available. This form also captures the details like name of the employee, employee id, background of the employee and other relevant details. As soon as a course request is made by the employee an automatic mail  is delivered to the department head regarding the request and after that an automatic mail is received by the employee informing that his/her request is under processing. Help about system features is incorporated which the employees can view in case of trouble with the application.

Department Head: – department head of any department logs into the system using guest login. The department head can view the requests sent by the employees. Depending on the organizational requirements or project requirement, the department requests the ORS coordinator to schedule training sessions. Similar to employee module, the department head enters details of the course request in the form available. This form also captures information such as preferred choice of dates for training to be conducted, the course training needed, and number of participants likely to attend the training and other relevant details. In addition the form also takes a confirmation whether the department is ready to go for external faculty (vendor) in case of unavailability of an internal instructor, provided the department has to bear the cost paid to the external trainer.

The head has the privilege to withdraw his/her course that has not been serviced yet. The head also has the discretion to cancel course request which has already been planned.
